95% of the Time, It's Not Your CRM

Last week I sat down with Doug Davidoff.

One line really stuck out to me…

“95 times out of 100 the CRM isn't the problem - the gap in your business process is”

Here's what that means for you this week.

Your CRM Only Has 1 Job

Doug's test is simple.

A CRM works if it does 3 things:

  1. Helps people make better decisions, from rep to exec
  2. Helps you generate more sales
  3. Makes selling easier, not harder

If it fails those 3… quit focusing on adoption and more on how it’s set up.

Fix The Manager Conversation First

The fastest change has nothing to do with fields.

It's how your managers use what's already there.

❌ BAD = "How did the meeting with ABC go?"

✅ GOOD = "I saw XYZ happened. What's our plan?"

Same data.

Completely different job.

One micromanages.

One accelerates.

Find Your Swing Path

Doug coached college baseball.

Top 20 offense in the country.

No two hitters swung the same way.

But there were 3 points in every swing that mattered.

Your pipeline is the same.

  1. Define the 3 key milestones a deal must hit
  2. Standardize those. Everything else… let reps do it their way
  3. Stop turning the CRM into an activity-logging exercise

You don't scale on your top 10% of reps.

You scale on the middle 50%.

The swing path is how.

Don't Automate The Wrong Thing

AI is great at structuring messy notes so a rep can add judgment.

AI is dangerous when it replaces the judgment.

Doug's warning = what you automate becomes invisible.

  • Let AI clean up notes and update marketing fields
  • Don't let AI write the emails your reps forget they sent
  • A prospect asked a rep "why did you reach out?" and the rep didn't know. That's the cost.

Good friction is a feature.

It makes a rep pause and think.

Bad friction is just busywork.

The Goal = Flip The Pipeline Review

Most pipeline reviews are 90% data gathering and 10% strategy.

A CRM that's set up right inverts that.

  • 10% pulling the picture
  • 90% coaching the deal forward

That's the whole game. Less recap. More action.

Pick 1. Not all of it.

Sit in on one pipeline review and count the minutes spent on data vs strategy.
